The same proposal, before and after

Four comparisons and four slides from a single deck. Every one of them is invented for this website: no client material appears here, and no logo, testimonial or figure belongs to anybody.

How to read these

Two rules were followed while making them, and they are the reason the examples are worth anything at all.

  1. Nothing is added between the two slides

    Every figure, date, exclusion and condition on the designed slide appears on the crowded one as well. Designing a proposal does not put anything into it that the sender did not write, and a comparison that quietly improves the offer would be proving nothing.

  2. The crowded slide is not a straw man

    It is what a proposal looks like when it is written at speed in the software to hand: everything one size, a bullet list doing the work of a structure, and the price sitting in the middle of a sentence. There is nothing wrong with it that half an hour of structure does not fix.

Before & after

Four pairs from three invented proposals: a scope and price slide, a mobilisation timeline, a problem-and-approach opening, and three priced options. Any slide opens at full size.

Invented example

Ashgrove Facilities, Kelbourne Retail Park, Vantry Studio, Ferndale Wholesale, Marrick Training and Oakfield Care Group do not exist. The figures and dates were made up to be realistic, not to be true.

Scope of work and price

The whole offer arrived as one paragraph with a bullet list underneath, and the monthly fee sat in the middle of a sentence. Laid out, the zones, the schedule and the money each hold their own line.

Scope of work and costs

Further to our site visit we are pleased to submit our proposal for the grounds maintenance of Kelbourne Retail Park, covering three zones - the car park, the service yard and the entrance planting beds, on a schedule of 20 visits per year, twice a month from March to October and monthly from November to February, carried out by two operatives per visit with all green waste removed from site on the same day, and we can confirm that the monthly fee is £1,450 including VAT, being £17,400 for the year, on a 12 month term commencing 1 April with a review at month 9, any additional works such as tree surgery or drainage being quoted separately and agreed in writing before they start.

Timeline and mobilisation

The dates were correct but out of order: three of them lived in a paragraph and the rest in a bullet list that started at week 3. Laid out along a line, the reader can see how long mobilisation takes.

Timeline / mobilisation

Mobilisation takes three weeks from acceptance. In week 1 we carry out the detailed site survey and agree access arrangements with the centre manager, in week 2 we issue the method statement and risk assessment for your approval, and in week 3 the rota and equipment are confirmed and the operatives are briefed, with the first scheduled visit on 1 April, when the 20-visit schedule begins. A written note is issued after every visit and the contract is reviewed with you at month 9, ahead of renewal.

The problem and the answer to it were in the same paragraph as the price, so a reader had to hold all three at once. Split apart, the problem is one line and the answer is three steps.

Ferndale Wholesale currently trades under three different logo versions across the van livery, the trade counter and the price lists, and there is no single set of files to send to printers, so our proposed approach is to run three workshops with the sales, warehouse and marketing leads, prepare two concept routes, refine the one you choose and supply the finished identity as AI, PDF and PNG files with a one page usage sheet, over eight weeks from the agreed start date, at £9,800 including VAT with two rounds of amends included at each stage and payment in two instalments of 50 per cent on start and 50 per cent on delivery. Costs

There are three ways in which the programme can be structured. The core programme covers the mandatory refresher training for 40 staff over six weeks at a cost of £4,200 including VAT. The extended programme adds the two supervisor modules and the assessment day, taking nine weeks, at £6,750 including VAT. The full programme adds the train the trainer week and twelve months of refresher access, taking fourteen weeks, at £11,300 including VAT. All quotations are valid for 30 days and our payment terms are 30 days from the date of invoice.

Four slides from one deck

Not a comparison this time: four slides in the order they appear in an invented fit-out proposal, so that the typical blocks can be seen at working size rather than described.

Invented example

Kelbrook Interiors and Harewood Dental Practice are invented, and so are the prices, the dates and the email address on the last slide.

What these examples are not

Worth stating plainly, because a page of examples is exactly where a design studio is tempted to borrow someone else’s work.

  • Not client work. Nothing on this site was made for a paying client, and no client material is published here.
  • Not real companies. The names, addresses and figures are invented, and web addresses use the reserved example domain, which nobody can own.
  • Not a portfolio of results. No deck here won anything, because none of them was ever sent to anybody.
  • Not a fixed style. Your deck is built to your brand materials, so it will not look like these unless your brand happens to.
